Sharing

Relay shares what you see, not just the file. A link reopens your windows on someone else’s machine at the same zoom, with the same channels, layers and annotations. Recipients do not need an account to look.

Share is the paper-plane button at the right of the menu bar. It opens a window titled Share this workspace: your desktop, with every window you choose to include.

  1. Choose the windows

    A to-scale map of your desktop shows every window. Tick the ones to include; each one you tick is outlined on the real desktop behind the panel. Windows that cannot go in a link say why: Empty, Still saving to Relay, or Only on this computer for a file that has not been uploaded.

  2. Choose who can open it

    Viewer is read only. Commenter can reply to comments, which needs a Relay account. Then pick the audience: Anyone with the link, Anyone signed in to Relay, People at my company (you give the email domain), or Anyone with the password.

  3. Set the limits, if you want them

    Under More options: Link expires in 1, 7 or 30 days, or Never; Stop after 5 or 25 opens; and Allow download, which shows or hides the download button for the original files. Hiding it is not a lock: anyone who can open a file can still save a copy.

  4. Copy the link

    The sentence beside the audience states exactly what the link permits (can open 2 windows. No account needed. Expires in 7 days.), so there is no guessing. Press Copy link: Relay makes the link and puts it on your clipboard.

The third role, Editor, is not a link to some windows. It lets someone into the project itself: see Inviting people to a project.

Revoke, next to the link, stops it. It takes effect immediately, even for someone reading it at that moment, and it cannot be undone: a new link does not bring the old one back. Comments they already left are kept.

Right-click a file in Data and choose Share, or a folder and choose Share Folder. Same audiences and limits, without the desktop around it.

A Viewer or Commenter link shows the windows you picked. To let someone work in the Project with you, open Share and choose Editor. An editor can change the whole project and always needs a Relay account. Only the project’s owner can give edit access.

Then choose how they get in:

  • Only someone I invite by email: type their address and press Send invite. The invite works for 14 days.
  • Anyone with the link who signs in: press Copy link and send it yourself. Revoke stops anyone new from joining with it; people who already joined keep their access until you remove them.

More options lists People with access: everyone in the project, marked Owner, Can edit or Can view, and the invites still waiting. The owner can remove a person, or copy or cancel a waiting invite, from that list.

You can also open the same window from Projects: choose Share in the menu on a project’s card.

A team is a group of people who share a Team Drive root in the Data app, see each other’s comments, and have their own list of projects.

  • Settings → Team → People: Create a Team, then Invite members by email as Member or Admin. Invitations are listed until accepted.
  • A file in a team drive is one shared file for the whole team, not a private copy each. Every member can open it, annotate it and review its annotations.
  • A file of yours that you put in a shared project can be opened by the people in that project. Everyone sees its annotations; editors can also draw and review.
  • Comments have a Private / team toggle, so a note to yourself stays yours.
